1. Introduction

Imperial Analytics ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our trading journal platform.

2. Information We Collect

Account Information

  • Email address
  • Name (if you provide one in your account profile)
  • Authentication metadata (for example, sign-in method and verification status)

Trading Data

  • Trade entries (symbol, entry/exit prices, quantities, dates)
  • Trading strategies and notes
  • Trade-history files you upload
  • Performance metrics we calculate from your data

Payment Information

  • Stripe customer ID and subscription status
  • We do NOT store credit card numbers (handled by Stripe)

Usage Data

  • Pages visited and features used
  • Session duration and frequency
  • Device and browser information

3. AI Processing Disclosure

Your trading data is processed by a third-party AI API

To provide AI-powered insights and analysis, we send relevant portions of your trading data to an external AI service provider via their API. That provider processes the data under its own terms and privacy policy and uses it solely to return outputs for your account. We use the API for inference only; your content is not submitted for use in training the provider's models.

3a. Coach Memory & Long-Term Trader Profile

What "Coach Memory" is and how it's used

To deliver coaching that actually understands your trading over time (instead of starting from scratch every session), we maintain a private internal record we call your Coach Memory (stored as the TraderProfile object). This record is derived data. It is built from the trades you have already imported and the insights our AI agents have produced for your account. It is not a copy of your raw trading data and is not used by any AI provider for training.

What Coach Memory contains

  • Rolling 90-day and all-time baseline metrics (win rate, profit factor, expectancy, average R, drawdown).
  • Confidence tier: a label like ESTABLISHING, LOW, MEDIUM, HIGH, or ELITE describing how much data we have on you.
  • The set of accepted / dismissed AI insights so the next session doesn't repeat itself.
  • Identifiers that link this profile to your user account, your trades, and the insights generated about them.

What Coach Memory does NOT contain

  • Your name, email, broker credentials, or payment information.
  • Free-text journal entries (those stay tied to the trade record itself).
  • Anything from another user's account. Coach Memory is per-user and access is enforced server-side.

Retention & deletion

Your Coach Memory is rebuilt continuously from your trade history. When you delete trades, the affected metrics are recomputed; when you delete your account, the entire TraderProfile record is removed within the same 30-day window described in Section 8.

Legal basis and your right to object

We process Coach Memory under our legitimate interest in delivering the coaching feature you signed up for. Because Coach Memory continuously profiles your trading patterns to personalize insights, you have the right to object to this processing at any time. Disabling Coach Memory (see "Opting out" below) is the mechanism for exercising that right. No legal or financial decisions are made automatically from your Coach Memory.

Opting out

You can request that Coach Memory be disabled for your account at any time by emailing support@imperialanalytics.ai. When disabled, AI insights will still run on the trades you import, but no long-term profile will be retained between sessions.

  • Provide and maintain the trading journal service
  • Calculate and display your trading performance metrics
  • Generate AI-powered insights and recommendations
  • Process payments and manage subscriptions
  • Send important service updates and notifications
  • Improve and optimize our platform
  • Comply with legal obligations

5. Service Providers

To operate Imperial Analytics, we rely on a small set of vetted service providers. Each provider receives only the data required for its specific function:

  • Cloud hosting and serverless compute: running the application
  • Managed database: storing your account and trade records
  • Caching and rate-limiting infrastructure: keeping the service fast and protected from abuse
  • Object storage: holding any trade-history files you upload
  • AI processing: generating the insights described in Section 3
  • Payments: Stripe (named because you transact with them directly; we do not store card numbers)
  • Error monitoring and analytics: diagnosing issues and, with your consent, measuring product usage

We do not publish a public directory of vendors or sub-processors. If you need a current list for compliance purposes (for example, under an executed Data Processing Addendum), contact privacy@imperialanalytics.ai.

6. Data Security

We implement industry-standard security measures including:

  • HTTPS encryption for all data transmission
  • Encrypted database storage
  • Secure authentication via time-limited magic link sign-in
  • Regular security audits and updates
  • Rate limiting to prevent abuse

7. Your Rights

You have the right to:

  • Access: Request a copy of your personal data
  • Correction: Update or correct your information
  • Deletion: Request deletion of your account and data
  • Export: Download your trading data in a portable, machine-readable format
  • Opt-out: Unsubscribe from marketing communications

8. Data Retention

We retain your data as long as your account is active. After account deletion:

  • Trading data: Deleted within 30 days
  • Backup data: Deleted within 90 days
  • Legal records: Retained as required by law

9. Cookies & Consent

We group cookies and similar browser storage into three categories:

  • Essential (always on). Authentication, session management, security and fraud prevention, and remembering your cookie choices. The service cannot function without these, so they are not optional.
  • Analytics (optional). Product-usage and performance measurement, including page views, session insights, and error diagnostics, so we can see what to improve. These set first- and third-party cookies and similar storage through the analytics providers described in Section 5.
  • Marketing (optional). Campaign measurement, used only if and when we run advertising or promotional surfaces.

Analytics and Marketing are off by default for visitors in the EU, the EEA, the United Kingdom, and Switzerland and load only after you opt in. In other regions they are on by default and you can turn them off at any time. Essential cookies are unaffected by your choice.

You can review or change these choices at any time. Withdrawing consent is as easy as granting it:

10. Children's Privacy

Our service is not intended for users under 18 years of age. We do not knowingly collect data from minors.

11. Data Breach Notification

In the event of a data breach that affects your personal information, we will notify you within 72 hours via email and provide information about the breach and steps to protect yourself.

12. International Data Transfers

Your data may be processed in the United States. By using our service, you consent to the transfer and processing of your data in accordance with this policy.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through the platform.

14. Affiliate Programs

Imperial Analytics participates in affiliate programs with select brokers, currently Tradovate and NinjaTrader. When you open an account through one of our referral links, we may earn a commission. This does not affect the price you pay, nor does it influence which features or integrations Imperial Analytics builds. We only participate with brokers we already use ourselves.
